The first task of better managing your time is to find out the way you control your time now.
Using a calendar is the most effective way to complete this step.
Just try it for a day, and you will have an incredible time for your time.

When you start or finish an activity all day, you can record the time. You may consider using a stopwatch to record the intervals of each activity.
You can use this method only in the working hours, or use it all day.
At the end of the day, classify these periods into the comprehensive category and find out the percentage of the time you spend on each type of activity.
If you want to do this thoroughly, you can continue to do it for a week, and then calculate the percentage of time you spend in each type of activity.
Try to be as thorough as possible: write down how much time you spend in sending and receiving e-mail, reading newsgroups, surfing the Internet, making phone calls, having meals, bathing and so on.
When you stand up from a chair, it means that you should add a pen to your schedule.
I usually have 50 to 100 daily entries at the end of the day.
You may be surprised to find that you spend only a fraction of your total time on activities that you consider to be substantive.
Studies have found that the average time spent by the office workers in real work is 1.5 hours per day.
The rest of the time is spent on social networking, work breaks, dining, unrelated work, moving files, and many other things that are irrelevant to work.
The full-time commuters started working on average at 11 a.m. and began to slack at around 3:30 p.m.

When I first used the calendar, I spent about 60 hours a week in my office, but only completed 15 hours of substantive work.
Even though technically I am two times the efficiency of the office worker, I am still upset by the result.
Where did the other 45 hours go?
My schedule clearly shows the loss of time in my unconscious state - checking the mail frequency and frequency, demanding perfection in those things that are actually not necessary, reading news, eating too long, being interrupted by actually preventable interference, and so on.
Calculate your personal efficiency ratio.
When I realized that I had spent 60 hours in the office, but only finished 15 hours of substantive work, I began to ask some interesting questions.
My income and sense of achievement only came from those 15 hours, rather than all the time I spent in my office.
So I decided to start recording my daily efficiency ratio, that is, the amount of time I spent on my substantive work divided by the total time I spent in the office.
When I found myself using only 25% of the time, it really made me feel terrible.
At the same time, I realized that it is extremely foolish to lengthen working hours only.

If you have ever tried to restrain yourself from doing things that you do not really have the motivation to do, you have a great chance of failure.
This is the natural result when I try to restrain myself from working harder.
In fact, trying to work harder will only reduce my motivation and lower my efficiency ratio.
So I reluctantly decided to try the opposite way.
On the second day, I only allowed myself to stay in the office for 5 hours, and for the rest of the day, I was not allowed to work on my own.
Ha, interesting things happen, I'm sure you can imagine.
My brain takes working hours as a rarity, because I keep working for almost 5 hours and efficiency is over 90%.
I continued the experiment in a few days of the week, so I completed 25 hours of work in the office during the 30 hours this week, and the efficiency was over 80%.
So I reduced my weekly working hours to 30 hours, and at the same time, I spent more than 10 hours to do substantive work.
If your schedule shows that your efficiency is very low, try limiting your total time in a day to see how it works.
Once your brain realizes that working hours are tight, you suddenly become highly efficient because you have to.
When you have urgent time constraints, you usually find ways to get the job done.
And when you have plenty of time, you can easily become inefficient.
Maintain maximum efficiency and gradually increase total work time.
In a few weeks, I can gradually increase my weekly working hours while maintaining my efficiency above 80%.
So far, I have kept this habit for many years, and generally spend about 40 hours a week doing substantive work, and at the same time only spend 45 hours in the office.
I think this is great for me.
If I try to spend more time in the office, my productivity will drop rapidly.
The most wonderful thing is that this method enables me to optimize my work efficiency and let me get a great balance in other areas of my life.
I use this method to increase the business efficiency by three times, and still have a lot of time to pursue personal hobbies.
Using calendars is a wise choice to ensure the best productivity without increasing working hours.
However, the timetable must be used regularly to produce these advantages.
I use a calendar every 3 to 6 months, and over the years it has made a huge difference and always gives me new and outstanding performances.
If I don't use my calendar for too long, my productivity will gradually decrease as I have regained the habit of unconscious waste of time.

When you feel that your productivity is lower than what you want to achieve, use the calendar to enhance your awareness and measure your efficiency ratio, and then optimize your efficiency until productivity is restored.
